Assigning Custom Onboarding Forms

As an administrator, you can assign custom onboarding forms to the different employees in your organization. Learn how to view and assign custom forms to different positions and locations. 

talentReef offers multiple options to assign custom forms:
 
  • Form Assignments (best for standard onboarding)
  • Mass Assign to Existing Employees (best for "one-off" forms)



Start by clicking "Admin" from the "Jump to" menu in the upper left, then "Onboarding", then "Custom Forms". Here, you are able to view the list of active and inactive custom onboarding forms from within your talentReef account.
 
  • By clicking on the three-dot menu on the right, you will see the two ways to add new form assignments.  



 

Form Assignments

"Form Assignments" will allow you to assign a form to any new hires who join the team in the future. These form assignments will not apply to anyone who has already completed the onboarding process (i.e. current employees). This feature is great for establishing your standard onboarding forms for new hires only.
 
  • The first screen displayed are your current form assignments. By clicking on the headers you can sort the current form assignments by position, location, location number, or brand. 
  • You can also filter by brand and location using the buttons to the right. 

 
  • To start assigning your custom forms to new locations/positions, click "Add New Assignment"  in the upper right.

 
  • The system will display all Positions (both active and inactive). Select the Position(s) you want the form to be assigned to and move to the right using the arrow.

 
  • Expand the Location selector by clicking the down arrow.
  • You can optionally select locations (associated with the selected positions) and move them to the right using the arrows.

 
  • Note: Only active locations will be available for selection. 
  • Click "Save Assignments" to finish.
     

Mass Assign to Existing Employees

"Mass Assign to Existing Employees" allows you to assign custom forms to employees who have already been hired and who have already completed the onboarding process. With this feature, you can assign a form to any existing employees in the selected positions, locations, and statuses. Once a form has been mass assigned, it will not reoccur nor will it be reassigned to any additional employees in the future.This is a great option to push “one off” forms to existing employees.​ 
 
  • Click "Mass Assign". 
  • The system will display all Positions (both active and inactive). Select the Position(s) you want the form to be assigned to and move to the right using the arrow.

 
  • Expand the Location selector by clicking the down arrow.
  • Select locations (associated with the selected positions) and move them to the right using the arrows.
  • Note: Only active locations will be available for selection.

 
  •  Select the status of the employees that will receive the form assignment. 

 
  • Click "Assign".
